Admin tasks for Mindmup organizational accounts

This page covers the most common tasks for administrators after setting up a Mindmup Organization account.

Adding users to Mindmup

With an Organization subscription, you do not need to manually add individual users to Mindmup.

Authentication is handled through your existing single sign-on system:

  • Google Workspace (formerly GSuite / Google Apps)
  • Microsoft 365 / Azure AD

Simply instruct users to sign in using Sign in with Google or Sign in with Microsoft, depending on where your organization is hosted.

If you are using Microsoft 365 / Azure AD authentication, you can also share a direct sign-in link that disables all other authentication methods:

  • Sign in with Microsoft

Send these links to users

We recommend sharing the following helpful resources with your users:

  • Using Mindmup storage (for organizations using Google Workspace or Microsoft 365)
  • Using Mindmup with Google Drive (for organizations using Google Workspace)
  • Tutorials and guides

Configure organizational access

You can control how users store and share maps from the account management page. This includes:

  • Blocking sharing outside your organization
  • Restricting available storage options

For step-by-step instructions, see the Configuring organizational access tutorial.

Configure sharing emails

When using Mindmup storage, Mindmup can send email notifications when someone shares a map.

To ensure delivery, allow incoming emails from contact@mindmup.com to your users.

Some schools block external email for student accounts. If you prefer not to send sharing notifications, you can disable this feature under Configuring organizational access. In that case, users should check the Maps shared with me section on the files page.

This does not apply to maps stored on Google Drive. Google manages all sharing notifications for those maps.

Configuring sharing teams

When using Mindmup storage, you can create sharing teams so users can easily share maps with entire groups, such as:

  • School classes
  • Project teams
  • Work groups

For details on creating and managing teams, see the Manage sharing teams tutorial.

Working with Microsoft Teams

Organizations using Microsoft 365 can choose to share maps through Microsoft Teams instead of creating Mindmup teams.

For setup instructions, see Sharing with Microsoft Teams.
