I Can’t Share Outside My Organization

Sep 30Troubleshooting

Overview

If you are trying to share a Mindmup map with someone who is not part of your organization and the option is unavailable, your organization's privacy settings may be preventing external sharing.

Mindmup organizations can control whether maps can be shared with users outside the organization. This setting applies to organizational sharing and is separate from choosing whether a particular person can view or edit a map.

Check the organization’s privacy setting

If you are an administrator, go to Account › Privacy and check Sharing outside of your organization.

This setting controls whether maps can be shared with users who are not part of your organization.

If the setting is disabled, maps cannot be shared with external users. An administrator may need to enable it before you can share the map outside the organization.

If you are a member and cannot change this setting, contact your organization administrator to check whether external sharing is allowed.

Check the map's sharing options

Once external sharing is allowed, open the map and click Share in the top-right menu.

Under Invite, you can enter an email address and choose whether the person can view or edit the map.

You can also check the Shared with section on the Home dashboard to see who already has access to the map and their current access level.

Example Use Cases

You need to share a map with an external client

If your client is not part of your organization, check Sharing outside of your organization before trying to invite them by email.

You need to collaborate with an external partner

If external sharing is allowed, use Share › Invite and give the person either view or edit access, depending on what they need to do with the map.

Tips

  • Check Account › Privacy first if external sharing is unavailable.
  • If you are an organization member, ask an administrator to check the Sharing outside of your organization setting.
  • When inviting an external user, enter their email address under Invite and select the appropriate access level.
  • Use the Shared with section to review who already has access to the map and whether they can view or edit it.
  • If the person is already part of your organization, consider sharing with their team or with All members of your organization instead.
